How I Built It
Joe Casabona
Overwhelmed? Feel like your business can't run for a day without you? You're not alone. When you're a solopreneur, everything ends up depending on you. You're the only one who can do the work, answer the email, keep the plates spinning, make the decisions. So you're on the hook every day: nights, weekends, even the vacations you do manage to take. The overwhelm never really lifts. But being a solopreneur doesn't have to mean doing it all yourself. With the right systems, parts of your business can run without you. That's what gets you your time back, and gives you the freedom to take a real break. And the freedom to do the work you actually want instead of the work you feel stuck doing. Joe Casabona learned this the hard way. He went from so overwhelmed he had a panic attack to taking 4–6 weeks off a year, worry-free, and he's helped hundreds of solopreneurs build systems that give them their time back. On Streamlined Solopreneur, each episode gives you one clear idea to help you get your time back — and exactly what to do, so you don't just have another decision to make. Start listening. And you want to take action right now, take the Solopreneur Systems Quiz to know which system you should fix first, and how: https://quiz.streamlined.fm

Being a Solopreneur Doesn’t Mean Doing It All Yourself

When I made websites, or helped people launch their podcast, it was very easy to explain. But when I talk about saving 25 hours per month by building systems and workflows, that’s really unclear to a lot of people. I’m selling the feeling. One of the things that has really helped me is my signature framework: the Streamlined Solopreneur System. I wanted to communicate that being a solopreneur does not mean doing it all yourself. So in this episode, I walk you through all five pillars (goals, mindset, organize, systematize, and scale) and the questions you can ask yourself at each step. Follow these steps and you’ll free up time in your business to spend time the way you want. Because taking your kids to the playground and then answering messages in Slack is not true freedom. That’s just a longer chain that’s still at your desk. Looking for a place to start? I’ve spent the last few episodes telling you the tools don’t matter. How you organize your day and spend your time is what really matters. But recently a friend on my mailing list asked for my top three devices, apps, and techniques for time and productivity management, and it was fun to answer...so I'm bringing it to you. I go through the devices that are really important to me: my phone, my Apple Watch, and the analogs (a book and a Field Notes notebook). Then the apps I use on my phone, my computer, and my iPad: Obsidian, Todoist, and Whisper Memos. I even get into the once-a-day games I play, and the ones that took up far too much of my time. But the techniques are where the magic happens. Using AI to take stuff off your plate without understanding how you work is like empty calories. You’re doing something, but you aren’t moving the chains forward. So I share the three that make the most impact for me as a solopreneur: weekly planning, task journaling, and time boxing. Having a game plan frees up your time so you can spend it the way you want. Go to your kid’s soccer game, see a movie, or just spend some extra time reading. Not sure where to start? This week I talk about a Steve Thompson video that's had me rethinking my whole approach — the idea that teaching tactics on YouTube actually costs you clients, because when you hand people the solution they assume they can do it themselves. After a rough summer where teaching hasn't yielded new business, I've decided to make September an experimental month: teach less, shift beliefs more, and stop being afraid to sell. Then a story about three climbers rescued off Mount Shasta after relying on AI to plan their climb, and a recommendation for DJ Earworm mashups on YouTube. Plus this week's systems tip: a video outliner I built with Claude Code that gives me the beats but never the words. There was a time when building a quiz as a lead magnet seemed insurmountable to me. The setup, the configuration, the routing — not to mention how much those tools cost. AI and Automation are not the same thing. But people seem to use the terms interchangeably. Tools like Zapier and Make are deterministic automation — you know the input, you know the output, and it's incredibly consistent. Large language models are what I'm calling interpretive automation. Run the same thing multiple times and you can get different outputs. Both can do similar things. I don't treat them the same. And in this episode I’ll tell you the differences, and how to figure out when to use each one. Want more on using AI conscientiously? A few years ago, I was helping my friend Jeff rebuild an automation — getting his intake form to talk to his CRM and his project management tool. Halfway through the screen share, he stopped and said, "So you just think like this?" That's when it hit me: not everyone's brain defaults to systems. Mine does…but I wasn't born with it. I learned it. That's what this episode is about. A lot of solopreneurs tell me some people are just wired for this, and they're not, that it's a willpower fail. I don't buy it. Thinking in systems is a skill you can learn, not a gift you're handed. Here’s how. Looking for a place to start? I was talking to an acquaintance recently who told me how he has AI agents write his articles for him. He sends a voice note of an idea, and every morning it picks the ideas, writes the drafts, sends them to him, he requests edits, and then it writes and publishes them. So I asked him: at what point do you feel uncomfortable putting your name on this? And he couldn't even see the issue. He just thought AI was some amazing magic bullet that produced articles for him. That's what I want to talk about this week — the lie that AI is a magic shortcut, that if you're not using it you're going to fall behind. And sure, AI can write stuff. So can my five-year-old. That doesn't mean it's going to be good. Here's the truth: if you stop doing the craft, you will no longer be good at the craft. Let’s make sure that doesn’t happen. Back in 2016, I ran…well, *completed…*a Disney half marathon. And the thing about Disney is they make it impossible not to find the starting line. Buses from the resort, signs, gates, pre-race emails. Everything points you to where to start. And if I didn’t know any of that, I wouldn’t just start running. I would start simple…like asking a cast member when the race is, and go from there. But for some reason, when it comes to our business, a lot of us tell ourselves: I have to fix everything right now, immediately. But you can’t when you don’t know the first step. For most of my life, I believed that if I wanted something done right, I had to do it myself. I held it all the way until I had a panic attack and had to stop doing everything myself. I made changes, and you know what? I learned that being a solopreneur doesn't mean doing everything yourself. It means you own the business and work on your own terms — not that you personally execute every task. In this episode, I break down how to tell the difference, why "no one can do it like me" is a story we tell to protect our feelings, and how one client almost stopped doing her show because she wouldn't let go of a single task. Imagine you finally logged off. It's the first real vacation you've taken in years. The coffee's hot (or iced), the phone's in the other room, and for once, nobody needs you. This is why you went solo in the first place. Work you actually care about, on your terms. The freedom to close the laptop and just… be there. The business hums along without you standing over it. You breathe. And then the phone buzzes. It's the one thing only you can handle. So you grab the laptop. And just like that, you're working again — because when you're solo, everything runs through you. Every task. Every email. Every little fire. The overwhelm never really lifts. So what happened? And more importantly — how do you build a business that doesn't fall apart the second you step away? That's what we explore here on Streamlined Solopreneur. I'm Joe Casabona. I went from so overwhelmed I had a panic attack, to taking four to six weeks off a year — worry-free. And I've helped hundreds of solopreneurs build the systems that finally gave them their time back. Every week, I'll bring you one clear idea to help you: Beat overwhelm with systems you can actually trust Get your time back Build a business that doesn't depend on you And put AI on the tasks — not the thinking These are short episode that tackle one idea or piece of advice you can put into action today. Because "solopreneur" was never supposed to mean doing it all yourself. It should mean a business you can step away from — free to take a real break, and free to do the work you actually want. If that's the business you're after, this show is for you. subscribe wherever you're listening, and let's get to work.
I was at a retreat with my mastermind group. We were going over our big takeaways, and my friend Cat reminded me of something: I output more content than most people. Her point was that when someone sees you doing what looks like a lot, it can feel completely unreachable, so they shut off to your message entirely. So today, I want to pull back the curtain. I put out two podcast episodes a week, two YouTube videos, a newsletter, a blog post, and three LinkedIn posts — and I promise it's not as time-consuming as it sounds. I'm just spending my time the right way, because I have a good system. Specifically, I walk through exactly how I produce my Friday Wrap-Up — a newsletter, a podcast, and a video — every single week in 90 minutes or less. I cover how I gather ideas all week with Obsidian and Capture, why I write the newsletter first so it doubles as my script, how Ecamm and a Stream Deck cut my post-production to almost nothing, and how I use Gling and a custom Claude skill for light editing and show notes. One of my favorite shows is Scrubs, and there's one episode that's stuck with me for nearly 2 decades, and I think about it nearly every day. In it, the team can't diagnose a patient showing every sign of Lyme disease, because they can't find the tick bite. Every test comes back negative. Then Dr. Cox shaves the patient's head, finds the bite, and mentions Occam's Razor: the simplest solution is often the correct one. That idea has run through my whole business; I'm a natural overthinker. So today I talk about why we overcomplicate things, and why tool hunting feels productive when it's really just busy work in disguise. Imagine making yourself a bowl of cereal. But instead of grabbing a bowl from the cupboard, you head to your backyard, throw a brand-new bowl on the pottery wheel, and while it dries, you drive to the store to buy a fresh box of cereal. Then you do the whole thing again the next morning. Sounds ridiculous, right? But that's exactly what we do with content when we create every piece from scratch with no ideas banked beforehand. So today I'm walking through how to stop being the bottleneck in your content creation process. I put out two podcast episodes a week, a YouTube video, a newsletter, and three LinkedIn posts — and I keep up because of three fixes. First, log your ideas as fast as possible so you never start on a blank slate. Second, use tools like Ecamm and Gling to make recording and post-production easy. Third, repurpose in a meaningful way — reshaping your own ideas for each platform instead of having AI spit out something that was never really yours. A few months ago I was doing a series of research calls, and the same piece of feedback kept coming up: "I read all your stuff, this sounds awesome, but I don't even know where to start." That was maybe the most important thing I've heard since I moved away from web development. So I finally decided to solve it. That's why I built the Solopreneur System Starter Kit, and today I walk you through the four systems every solopreneur needs to run a business that lets you take time off worry-free: admin work, your CRM, content creation, and idea generation and capture. Lately, I've been hearing horror stories about how people use AI. Not "AI wrote me a program" stories — I mean people who can't decide what to make for dinner, write their own feedback on a contractor's work, or come up with a single question for a webinar without asking a chatbot first. I call it AI Brain Rot, and getting really bad. So I walk through the three warning signs you might be slipping into AI brain rot, my 5 Pillar AI Philosophy, and three rules to keep your brain sharp while you still automate your business. We get into where AI actually shines — crunching data, transcribing calls, processing your notes — and where it absolutely doesn't. Here's the problem: most solopreneurs don't know exactly what they do. They can't explain it, so they can't build systems around it. And when we try to build systems without explaining them, they end up with bad, ineffective systems. Because when we explain, we scrutinize. How do you fix it? Pick one task you do often, fire up a screen recorder, and narrate how you do it and why. Recording yourself doing your task is the blueprint. It is the plan. That's the first step to understanding the systems you can build, so you can automate your business and take time off worry-free. Want a second set of eyes on yours? Record one task or workflow you do regularly and submit it at https://taskteardown.com — if I pick your video, I'll break it down on my YouTube channel with feedback on how to do it better. I talk a lot about the wrong ways to use AI. But a rainy weekend gave me a few free hours and two pet projects that I used Claude Cowork for— and the results actually impressed me. The first: I used Claude to vibe-code a custom Obsidian theme from scratch. No CSS, no digging through the inspector — just a few prompts and some back-and-forth until it looked exactly the way I wanted. The second: a Claude skill that plans trips for me end-to-end — packing list, budget, Todoist project, calendar entries, the works. It's now maybe my favorite thing I've ever built in Claude. I left work early recently to volunteer at my daughter's ice cream social and sit through her spring concert without checking my phone once. And if you’re a solopreneur, you know that’s a big deal. It’s all thanks to my startup and shutdown routines. And I know I’ve talked about them on the show before, but something interesting has happened over the last year. As LLMs and AI tools have been able to connect to more services through MCP, I’ve been doing my shutdown routine differently. It’s MUCH more automated now. As a result, I have an even better picture of what I’ve gotten done, and what I need to do…you know, the next time I’m at my desk. Have you ever gone to the grocery store without a list? You walk down every aisle, grab whatever looks good, spend way more than you planned — and somehow still get home without the one thing you actually needed. Running a one-person business without a real task capture system feels exactly the same. When everything falls on you, important work slips through the cracks. And without a plan, it's easy to spend your day on something that feels productive instead of something that actually moves the business. (Anyone who's let AI build them a thing they didn't need knows what I mean.) In this one, I'm walking through the three ways I capture tasks now — each one a little more automated than the last: Quick capture — making it stupid easy to get something out of your head Speech-to-text to sort — why Todoist's Ramble feature replaced an entire Zapier flow for me Automating task capture with AI agents — pulling tasks out of emails, call summaries, and notes without lifting a finger If you've ever said, "If it's important, I'll remember it" — I have bad news. Have you ever seen a 5-digit notification badge? It’s most stressful things I see on someone's phone. And I get it — as a solopreneur, email feels urgent. What if a client needs something? What if you miss a deal? But after nearly a decade of refining my approach, I've built a technical system that keeps my inbox at (or close to) zero — without having to check it constantly. In this episode, I walk through the full setup: how SaneBox automatically sorts what actually needs my attention, how I route newsletters out of my inbox entirely using Feedbin, how I handle task management without leaving a trail of flagged emails, and how intake forms and text expansion let me process requests in seconds instead of minutes. I also share what I'm experimenting with using AI to handle the data-crunching side of inbox management — so I can still show up as a human when it counts. Welcome to the Friday Wrap-Up for May 15, 2026. This is a short newsletter where I talk about 3 things: What’s on my mind this week, Recommended Reading, and Recommended Media. Here's what's on my mind... Earlier this week I found myself fighting Claude on something I felt was a pretty basic problem — one that I had used it to solve before. I kept going back and forth with Claude. I would ask it questions. It would then do things I didn't even remotely ask it to do. I started to form a weird theory in my head that Opus 4.7 is designed to waste tokens. But I'm actually worried it's worse than that. Recommended Reading: The colorful impact of Spike Lee’s red Yankees hat request 30 years ago: I'm a chronic Yankees hat collector. I suspect my collection pales in comparison to some, but I have over a dozen hats emblazoned with the classic Interlocking NY that has persisted for over 100 years. In other words, I love a dope hat. Recommended Media: I Tracked Down the Hidden Workers Secretly Powering ChatGPT: And now for something totally different. This video talks about companies that recruit people who train LLMs. The problems it highlights is twofold: the predatory nature of recruiting experts in a way that's dehumanizing, and the chilling mindset behind AI companies who basically want to own knowledge and sell it back to us. Does having a mailing list feel like too much for you? Like it’s adding “one more thing” to your list as a one-person business? That's what I hear constantly when I coach solopreneurs. Either they don't have a newsletter because it feels like too much work, or they have one, but they're paying for a plan they don't actually need. And in almost every case, it's not a strategy problem. It's a tool problem. That's why I'm making the case for Kit (formerly ConvertKit) — not because it's the flashiest option, but because it removes work instead of adding it. In this episode, I break down four specific reasons Kit is my go-to for solopreneur automation: easy setup, powerful evergreen automations, direct integrations with the tools you already use, and RSS-to-email that turns your podcast or blog into a newsletter without lifting a finger. I also share how I saved my client Laura to a bunch of money thanks to Kit’s free plan. If your newsletter has been sitting on the back burner, this one's for you.
